Who we are
Your Perfect Stay is the trading name of «company name», registered in England and Wales (company number «number»), registered office «registered office address». We're the controller of the personal information described here, which means we decide how it's used. «For stays at Makers Place, Makers YPS OPCO Limited (company number …) is the controller of the booking.»
We're registered with the Information Commissioner's Office (registration number «…»). For anything about your information, email info@yourperfectstay.co.uk, or write to us at «postal address».
What we collect, and why
- When you book
- Every guest's name; the lead guest's email, phone number and address; any special requests; and your dates, residences and discount code. Your card details go straight to Stripe, never to us. We use this to make and manage your booking, in Guesty, the system our team runs reservations in. Our reasons: it's needed for our contract with you, and tax law requires us to keep booking records.
- If you don't finish booking
- Once you continue from the details step, we save what you've entered — even if you don't confirm — so you can finish later, and so our team can help if you get stuck. A booking you didn't finish is deleted after 30 days. Our reason: our legitimate interest in helping you complete a booking you've started.
- Health or access needs
- If you tell us about a health condition or an accessibility need in your special requests, we use it only to get your stay right. Our reason: your explicit consent, which you give by telling us, and can withdraw at any time.
- Before and during your stay
- Photo ID for every adult and a short pre-check-in «through our guest area», your arrival time, and — where a building's parking needs it — your car's registration. Our reasons: our contract with you, and our legitimate interest in keeping residences and buildings secure.
- Questions and quote requests
- What you send from Contact us or a Corporate stays page: your name, email, phone (if you give it), your company and your stay's details, and your message. Our team gets it by email, and uses it to reply. Our reasons: steps you've asked us to take before a booking, and our legitimate interest in answering you.
- Talk to us, our chat
- Your messages and our replies, your approximate location (worked out from your IP address), your device and the pages you'd viewed. Your messages go to Anthropic, whose AI writes the replies, and our team is emailed each conversation once it's gone quiet, so they can follow up. If you move to WhatsApp, we note that you did. Please don't share card details or anything sensitive in the chat. Our reason: our legitimate interest in answering you, and in doing it well.
- When you browse
- A random visitor ID kept on your device; the parts of the site you view and how far you get in a booking; your device type and screen size; the page that sent you here and any campaign tags in the link; and your IP address and the approximate location it gives. We use it to see how the site is used and where bookings get stuck, to help a guest who's having trouble, and to keep the site secure. Our reason: our legitimate interest in running and improving our website. You can switch it off — see Cookies and your device.
- WhatsApp, email and phone
- When you contact us, we keep the conversation so we can help with your stay. WhatsApp is run by Meta, under its own privacy policy.
- Offers
- We send offers only with your consent or, if you've stayed with us, about stays like yours — and every one has a way to stop. Use the unsubscribe link in any email, or reply STOP to any text.
- Reviews on our pages
- We show reviews of our buildings from our Google profiles: the reviewer's first name, their Google photo, their rating and their words. If a review is yours and you'd like it off our pages, email us.
Our lawful reasons
The law lets us use personal information only for a lawful reason. Ours are:
- Contract — to make, manage and provide your booking.
- Legal obligation — to keep the records tax law requires.
- Legitimate interests — to answer you, run and improve our website, help you finish a booking, and keep our residences and systems secure. We rely on this only where your interests don't outweigh ours.
- Consent — for offers where the law needs it, and for any health or access needs you tell us about. You can withdraw it at any time.
Outside the UK
Some of these companies are based, or keep information, outside the UK — many in the United States. When your information leaves the UK, it's protected by UK adequacy regulations (including the UK–US data bridge, for companies certified under it) or by the UK's approved data transfer agreement. Email info@yourperfectstay.co.uk to ask which applies to any of them.
How long we keep it
- Bookings
- Six years after your stay ends, for our accounts and tax.
- A booking you didn't finish
- 30 days.
- Visits to our website
- 13 months. The IP address and the map point it gave go after 35 days; the city and country stay.
- Chat conversations
- Two years. The IP address and the map point go after 35 days.
- Questions and quote requests
- Two years.
- Emails and texts we send
- Two years.
- Your contact details
- As long as we keep a booking of yours. If you've never booked, two years after your last visit — unless you've joined our email list, in which case until you leave it.
- Reviews we show
- Only while they're on our Google profiles.
Guesty and Stripe keep their own records of bookings and payments, as their terms and the law require.
Our AI chat
Talk to us is an AI assistant, powered by Claude, made by Anthropic. It answers from our own information — the residences, the buildings and live availability — and hands anything else to our team. It doesn't make decisions about you: bookings, prices and anything that matters are always in the hands of our team, or yours.
Your rights
You can ask us to:
- show you the information we hold about you, and give you a copy;
- correct anything that's wrong;
- delete your information, where we don't need to keep it;
- restrict how we use it, or stop using it — and, at any time, stop sending you offers;
- give you the information you gave us in a form that's easy to take elsewhere;
- withdraw your consent, wherever we rely on it.
To ask, email info@yourperfectstay.co.uk. It's free, and we'll reply within one month; we may need to confirm who you are first.
If you're unhappy with how we've handled your information, tell us and we'll look into it. You can also complain to the Information Commissioner's Office, at ico.org.uk or on 0303 123 1113.
Children
Bookings are made by adults. Children's names reach us only from the adult booking for them, and we use them only for the stay.
Keeping it safe
Our website and systems use encrypted connections throughout, your card details never reach them, and only our team can see guest information.
Changes to this policy
We'll update this policy whenever what we do changes, and the date at the top of this page shows when it last did. Questions about it? Email info@yourperfectstay.co.uk.
